Common fees buy contracts, not just services
Request the current contracts for security, cleaning, lifts, pumps, pool, insurance and major repairs. Reconcile supplier names, scope, service levels, term, renewal, termination, price changes and invoices with budgets and meeting minutes. Ask how bids were obtained, evaluated and documented and whether any supplier is related to the developer, manager or committee.
Look for automatic renewals, weak performance remedies, split purchases below approval limits and projects awarded without an auditable comparison. A low bid is not automatically good value; continuity, competence, insurance and tropical maintenance capacity matter.
