A management proposal is only useful when its duties, fees and reporting are clear in the signed agreement. Before appointing a manager for a Phuket rental or second home, define what is included, what costs extra and who may approve spending. Compare the actual contract and schedules, not a presentation or verbal promise.
Put the service scope in writing
Separate routine inspections, guest communication, booking administration, cleaning, maintenance coordination and emergency callouts. For each task, record the response window, reporting method and whether the manager uses subcontractors. Clarify whether the manager handles regulatory filings or merely reminds the owner; do not assume that property management transfers the owner’s legal responsibilities.
Review money and approvals
Check the management fee basis, taxes or third-party charges, payment schedule, deductions from rent and supporting invoices. Set a written limit for repairs the manager can authorize without contacting you, with a process for urgent issues outside that limit. Require regular statements that reconcile bookings, receipts, refunds, expenses and amounts remitted to the owner.
Keep a workable exit route
Read the initial term, renewal, notice period, termination grounds and handover duties. Specify how keys, access codes, booking records, guest information, vendor warranties and outstanding funds are returned. Have a Thai lawyer review the contract if its effect is unclear.
