A deposit needs a controlled workflow
Owners should know who collects a guest or tenant deposit, where it is held, who can approve deductions and how quickly the balance is returned. The management agreement should separate rent, deposit and owner cash; require arrival and departure condition evidence; and define escalation for disputed damage.
Reconcile every deposit to the booking, bank or platform record. Set approval limits, photo standards, invoice evidence, depreciation logic, privacy controls and a monthly outstanding-deposit register. Do not treat deposits as revenue or assume they cover every loss.
